Using the Google Docs add-on for Red Marker reviews

Once you have set up the Red Marker Google Docs Add-On for the first time, you’re ready to apply Red Marker’s custom risk detection logic to your document as you work on it.

Starting your review

To open Red Marker in Google Docs, go to Extensions → Red Marker → Start.

Tip: If you don’t see Red Marker in the dropdown menu:

  1. Ensure that your document is a Google Doc, which allows extensions to be used. If you have a Word document (.docx) open, select File → Save as Google Docs to enable extensions.

  2. The Red Marker Add-on may not be configured properly for your organization. Contact your Google Workspace Admin.

A task pane will open on the right hand side of the page. Click “Sign In” and you’ll be prompted to sign in to Red Marker in a new browser tab.

Once logged in, you’ll be prompted to return to your Google Docs and close the browser tab.

To continue, Click “Review”.

Category Selection

If applicable, select the appropriate category or categories for Red Marker to apply to your document, and then click “Review” again.

Red Marker will scan your document and apply your custom rules and risk detection logic to the text. We do not currently support image analysis.

Using the Risk Pane

Risks are shown in the right panel in the order they appear in the document. Many risks are linked to particular terms or phrases in the document, and clicking on them will scroll your document and highlight the relevant term.

For each risk, you can:

  1. Use the cross icon to dismiss the risk, if you do not believe it is risky or you have actioned the risk. The risk will change to show that it has been dismissed.

  2. Reply to the risk. This is useful for sharing your thoughts with colleagues who subsequently view the review or for recording key risks and actions taken. To learn more about the collaborative review functionality, please see this article.

If Red Marker identifies risks in the header, footer or footnotes of your document, they will be shown under a separate heading in the risk pane. Due to technical limitations, clicking on these risks will not scroll the document to highlight them.

Re-reviewing your document with changes

If you have made changes to the document and wish to re-review to ensure that the risk has been addressed, you can click “Review again.”

Note: Any replies to risks and dismissals in the review will not be visible in the new review. If you have left comments for colleagues, we don’t recommend starting a new review.

Sending to the Red Marker app

If you’d like to store your document online in the Red Marker app or start the approvals process, click the icon in the top right corner to send to Red Marker for final review. The document will be converted to a PDF and re-reviewed.

Once you have sent your document, you will be redirected to the Red Marker App to access the reviewed version of your document. Within the Red Marker App, you can also use the additional markup and review tools, located in the top toolbar.
